The Position
You will function as the right hand person to the lead broker/owner in this high volume real estate office. Your primary focus is to enhance the broker's effectiveness by organizing, prioritizing, supporting and directly assisting him in his role. You will develop a strong relationship of understanding and cooperation between yourself and the lead broker. You will 'manage up' by helping to organize his work in order for him to be more productive. You will initiate and develop systems, structure and best practices in terms of operational efficiencies. You will proactively look for ways of taking the workload off the realtor. You will quickly learn his work and communication styles and be able to see the world as he sees it and understand the critical challenges he faces. You will listen for and align yourself with his vision. To be successful, you must be highly motivated, a quick thinker and have the ability to complete tasks and projects quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround. If you are not already licensed, you must be willing to obtain a license in first four months of employment.
This is an exceptional opportunity for an experienced and mature executive assistant to work with Barrie's #1 Real Estate Team. This role is perfect for someone who loves the real estate business but is looking for something with more structured hours and a guaranteed income.
Responsibilities
Organize, support and assist broker
Develop and maintain appointment schedule
Lead daily task discussion and provide daily summary email
Sift/sort/respond to emails
Manage deadlines and important dates
Communicate with clients, book appointments
Create buyer booklets and paperwork
Get measurements/preliminary photos of client homes
Assist with open housesPrepare emails for active listings
Assist in taking deals from accepted to firm
Coordinate transactions by preparing, reviewing and completing listing files
Meet with clients to get paperwork signed
Input client information into Top Producer
Perform property management administration tasks
Assist with client showings, walk-throughs, home inspections and offers as required
Location: Barrie
Compensation: Salary + Performance Bonus = Commission
Qualifications
Diploma/Degree (Business or Administration preferred
5+ years experience providing administrative assistance at the executive level
Must hold a real estate license or be willing to obtain a license
Highly organized with the ability to prioritize in the midst of conflicting urgent requests
Able to manage a high volume of tasks at the same time
Proactive with a proven track record of getting things done and achieving results
Proven ability to 'manage up'
Computer savvy (Outlook, Word, Excel, Top Producer)
Good communicator (verbal and written)Ability to work well under pressure
Exceptional time management skills
Detail oriented with excellent memory
Personable, likeable and caring
Great attitude and able to work with others
Strong work ethic
Professional demeanor
Must have a car and valid driver's license
Ability to excel in a dynamic high achiever environment with constant change

Able to work with little of nor supervision
Willing to work some nights and weekends as required
